DATA PROTECTION
Southern Photographic Society (The Society) is established with the objects set out in its constitution and is a data controller within the Isle of Man.
The personal information referred to in this Policy may include name, contact details, records of entries to events, and such other information as may be necessary to manage the legitimate interests of The Society. In particular The Society collects and holds personal data about:
1. The Committee, other appointees, and its members. This information is issued in AGM minutes and Membership list updates
2. Photographers as the creators of images used in the activities of The Society.
3. Historical archives for example but not limited to: records of meetings, handbooks, catalogues, awards and other event results.
This information may be used in the publication of catalogues, results, awards, or other publicity related to the objects of The Society.
The Society will only collect personal data relevant for lawful purposes, and where the data is sufficient and adequate, is not excessive, and is kept accurate and up to date. It will be kept secure and will be destroyed when it is no longer relevant or required.
Any person wishing to verify personal information held by The Society may apply to the secretary or membership secretary.
USE OF IMAGES BY THE SOCIETY
The Society has permission to use members’ images on the web site – by entering one of the Society’s competitions or exhibitions, the member gives permission to the Society to use any image(s) entered to support the Society in its normal activities. This can take various forms, including but not limited to:-
1. Publication in any area of the Society website.
2. Publication in other media to promote the Society.
3. Selection for representation of the Society in external inter-club competitions and for exhibitions and displays.
If a member does not wish for their image(s) to be used in this manner please inform the secretary or membership secretary.
Copyright of all images submitted remains with the member.
Images will not be used commercially.
The Society will endeavour to credit image(s) where possible, but the member accepts that this may not always be possible.
PRIVACY POLICY
This website has been built for the benefit of, and is managed and controlled by, the Southern Photographic Society. No personal information sent to the Society by e-mail or any other means will be used for any reason whatsoever, other than to pass any relevant information within the communication to the appropriate officer of the Society.
The Society will not share personal information with an outside organisation except when a member’s image is used to represent the SPS in an external competition or publication. In these circumstances the name of the author may be given, but not any contact details or other information.
Data Protection on the Isle of Man is subject to THE DATA PROTECTION ACT 2002 [and orders coming in 2018 to ensure the EU Adequacy Decision in relation to Data Protection on the IOM is maintained]
This Policy follows guidance available from the Isle of Man Information Commissioner in “Getting ready for the new data protection laws: A guide for small businesses, charities and voluntary organisations” [2018] and guidance to affiliated clubs of the Photographic Alliance of Great Britain [2018].
